Set up Crew access for an employee

Choose what an employee can view and do in Crew, and configure Back Office access for eligible users.

Open access control

  1. Open Settings > Employees and select the employee.

  2. Find Access control below the employee profile.

  3. Use Select all permissions only when the employee needs every available Crew permission.

Choose Crew permissions

  1. Expand Orders, Calendar, and Time tracking.

  2. Enable only the actions required for the employee's work. Some permissions depend on a parent permission, such as prices and order-line editing.

  3. Review customer visibility, job actions, calendar range, and manual time-tracking access carefully. Changes are applied from this access-control form.

Back Office access

  1. For an eligible Back Office user, review the separate Back Office access card.

  2. Grant only the pages the employee needs. Salary and hours and Settings can expose sensitive company information.

Invite or reinvite the employee

  1. A new employee normally receives an invitation when the profile is created unless Create without invite was selected.

  2. Before resending, verify the employee's name, phone number with country code, email, and role.

  3. Open the employee, choose Other actions, and select Resend invitation. This action is unavailable for roles that do not receive an invitation.

  4. Send one invitation and ask the employee to use the newest link. If sign-in still fails, follow the login troubleshooting steps instead of sending repeated invitations.
