Create and send a quote

Create a quote from scratch or a template, add the customer and quote content, and send it for approval.

Create a quote from scratch or reuse a quote template, then send the finished quote to your customer.

Create the quote

  1. Open Quotes from the left navigation.

  2. Select Create quote.

  3. To reuse a quote template, select it from the list. Leave every template unselected to start with an empty quote.

  4. Select Create or Create without template.

Between opens the new quote so you can add the customer and content.

Add the customer and quote details

  1. Enter a recognizable Quote name.

  2. Under Customer, select Choose customer and choose an existing customer. To add someone new, select Create customer instead.

  3. In Settings, add an expiry date, an internal follow-up, or a PDF front-page image when needed.

  4. Under Add section, add any jobs, job plans, payment plans, text sections, or certifications that should appear in the quote.

  5. In Order lines, select Add order line to add products, services, quantities, prices, discounts, and VAT.

  6. Under Attachments, select Add if you want to include supporting files.

The customer is required before the quote can be sent. The other content depends on what you are offering.

Send the quote

  1. Select Send quote.

  2. Check the email addresses under Receivers. Remove an address with the cross, or enter another valid email address and press Enter.

  3. Review the subject, message, and Answer will be sent to email address.

  4. Choose the PDF language. Between generates the quote PDF in that language and selects it as an attachment.

  5. Select the attachments you want to include. Their combined size cannot exceed 20 MB.

  6. Choose whether to include a customer-portal link, send the quote link by SMS, send yourself a copy, or send without a signature.

  7. Select Send.

Between marks the quote as sent and locks it against changes. The generated PDF is stored under Earlier offer sent on the quote.

Change or resend a sent quote

  1. Open the quote from Quotes.

  2. If you need to change it, select Unlock quote and confirm. The quote returns to draft, and the customer cannot accept it until you send it again.

  3. Make the changes, then select Send quote again.

  4. Review the recipients, message, PDF language, attachments, and delivery options before selecting Send.

Troubleshooting

Send quote is unavailable
Add a customer to the quote first.

Send is unavailable in the send window
Wait for the quote PDF to finish generating. Then check that there is at least one valid email address or a customer phone number, and that the selected attachments total no more than 20 MB.

The SMS or customer-portal link option is unavailable
Add a phone number to the private customer or to the selected contact for a business customer.
